Health Care: Update from the HFMA/ACA Task Force on Best Practices in Medical Debt Collections

In 2014, the Healthcare Financial Management Association (HFMA) partnered with the ACA International (Association of Credit and Collection Professionals) and gathered a task force of stakeholders to establish best practices for the fair resolution of patients’ medical bills. The stakeholders represented on the HFMA Medical Debt Collection Task Force include a diverse group of providers, consumer advocates, collection agencies and credit bureaus. The task force reconvened in 2020 to update the best practices and add best practices for modifying financial assistance policies (FAPs) in response to the COVID-19 pandemic and potential future public health emergencies. This document reflects the task force’s consensus on the current state of best practices related to the equitable resolution of the patient portion of medical bills.Join the discussion with ACA members about the best practices and how they have used them to serve both hospitals and consumers.

Supervisors and managers are left with few options to monitor their work, especially in an industry where 90% of communications between the collector and consumer are via one-on-one telephonic conversations. For the first time, Fall Forum will be delivered as a virtual event. As always, our Fall Forum is built to deliver content and connection across the ARM industry. The platform provides a virtual world offering many exciting possibilities and we hope you will join us. ACA will assist attendees in finding vendors who match their identified product and/or service needs. Breakout sessions will incorporate applicable vendors to steer session attendees to matching booths.

Innovation Stage
The Innovation Stage makes its debut to the Fall Forum agenda. Traditionally offered on the Convention Expo floor, this opportunity provides a platform for select vendors to deliver 15-minute presentations on new technology or solutions that advance the credit, collections, and accounts receivables industries. Invite attendees to join your scheduled time and engage with session participants during the simulive presentation. Attendee list and chat transcript will be provided to each presenter immediately following the session.

Automated lead retrieval process                     *Exhibitor Favorite!*
Within the virtual platform, lead retrieval is automatic for all vendors at no additional cost. Attendees who stop by your booth will be tracked throughout the event. As booth staff, you have the ability to be notified as visitors enter your booth space as well as see the Booth Visitor log, tracking attendees who entered and exited your booth. Data will be captured and shared with you according to your appropriate sponsor tier.

If you exhibited at Convention, your booth is already built! You’ll have the opportunity to make edits and changes if desired. For new vendors, your customized booth space will be built in partnership with ACA staff. Booth assets include video, images, website links and PDFs.

Your customized booth space will come with a unique URL for pre-event marketing. Access to the link and virtual platform will require event attendees to sign into the platform; all individuals are required to be a registered attendee to access the virtual platform.

Full Registration includes access to the Sponsor Showcase (exhibits), ability to have virtual chats and video chats with attendees, access to the Main Stage session, all breakout sessions, Resources page, Innovation Stage session, Women in Collections Resource Council (WICRC) session & event, and the Happy Hour. Note that legal education sessions are for ACA members only.  

Expo-Only Registration is available to non-Affiliate ACA members, and includes access to the Sponsor Showcase (exhibits), Resource page, and Innovation Stage sessions. 

We will be using the Engagez platform. Closer to the event date, you will receive your username and temporary password via an email that will be sent to you. If you attended the convention, your log-in will be the same. Once you receive access, use this time to test your computer and update your profile. 

Each registration is provided with one username and password. These credentials can be used on only one device. If you want to watch sessions and search exhibits at the same time, you can open the platform on two separate tabs within the same browser on the same laptop. An attempt to log-in on multiple devices will result in all but one individual being exited from the platform. If you want multiple individuals to attend at the same time, each must be registered separately.  

Updating your profile includes: 

  • Adding a photo so your colleagues can put a face to a name 

  • Updating your time zone so the agenda shows in your time zone (otherwise defaults to Central Time Zone) 

  • Option to hide yourself from the public attendee list. Note: doing this does NOT hide yourself from back-end reporting when we provide exhibitors with a list of who visited their booth. 

  • Adding your social media information so there are other ways to contact you 

  • Adding a tagline to let others know a little more about you 

Yes, when you log-in to the virtual platform, you will be able to switch the time zone by updating your profile. The published times on this website are listed in Central Time Zone. The default setting in Engagez will be Central Time Zone.  

  • When you receive the access email a few days before the event, log-in, update your profile, add your photo and connect your social media accounts.  

  • Review the attendee list under “Social Lounge” to see who else is attending. You can chat or video chat with attendees if they are online at the same time as you. Otherwise, you can send a message that they can check when they are back in the platform. 

  • Visit the Sponsor Showcase in advance and make a list of the companies you want to connect with. Do you need help finding particular products and services? Let us know – we’ll make the connection for you! 

  • Be active and share your voice in sessions and in the social lounge! Chat box will be made available for Q&A. Save sessions to your calendar so you don’t forget!

Expo-Only Registrations: Chatting with other attendees is not included however you can chat and video with exhibitors by clicking on their names in their booth.  

We’re bringing the fun online! Stop in during this happy hour to relax, have some fun and see drink demos from industry colleagues! 

WICRC is the Women in Collections Resource Council. WICRC will be holding a special session and happy hour on November 4th. 

The swag box is full of goodies from select sponsors. Boxes will be mailed to the address you choose when you register. Limited quantities are available on a first-come-first-serve basis.  

You do NOT need Zoom for the Main Stage Election Update, breakout sessions and Innovation Stage sessions. We will be leveraging Zoom to host the Happy Hour and Women in Collections Resource Council events.  

Using Google Chrome on a laptop and PC will give you the best full overall experience. You will lose some platform features by using iPads and mobile devices. 

Engagez Connection 

Most of the event will take place in the virtual platform, Engagez. Engagez requirements are as follows: 

 
Platform Functionality 

Engagez runs best on Google Chrome on a laptop/PC. If you are not using Chrome, download it free to your device. Full user experience is not guaranteed in other browsers and mobile devices. 

Audio 

  • For sessions, audio will be streamed directly through your computer/viewing device – there is no dial in number.  

Video -  

  • Ensure your firewall settings are set to enable video viewing.  

  • To prevent choppy and buffering videos, be sure you have a high enough bandwidth. Test your bandwidth with free tools such as speedtest.net or fast.com and make sure you have enough bandwidth to stream videos.  If you are watching from home, close out video streaming such as Netflix, Disney+ and other online video streams.
